Residential Supervisor

Supervisory
Serve as a role model for excellence. Ensure the highest quality of care for those we serve and serve as a mentor for all employees. Provide supervision and instruction to employees, ensuring a high-quality program that meets the needs of the individuals living in the program. Model The Arc’s mission, visions, and values in your interactions.
Attend and actively participate in staff meetings, supervisory meetings, ISP meetings, and other residentially related meetings as deemed necessary. The Residential Supervisor will schedule and chair staff meetings, providing an agenda and written meeting minutes are kept and distributed timely.
Maintain a cooperative relationship with other programs and agency departments regarding vehicle coordination, emergency staff coverage, and all other work-related matters. Participate in an on-call supervisory rotation.
Work with the Scheduling Coordinator to ensure schedules are created that meet program needs and The Arc Policy & Procedure, at least 10 days prior to the effective date. Sound fiscal management must be demonstrated in this area. If the Scheduling Coordinator is not available, the Residential Supervisor is responsible for assuming scheduling responsibilities.
Work with the Scheduling Coordinator to ensure the approval of day off requests as appropriate and ensure strict adherence to agency policy regarding schedule changes or requests for changes in availability. Sound fiscal management must be demonstrated in this area.
Assist in the screening of potential employees as needed, giving input as requested in hiring, and firing procedures. Provide training, guidance, and mentorship. Be responsible for recommending and issuing appropriate corrective actions in situations warranting such. Participate in employee grievance procedures as outlined in the Personnel Policy.
Complete employee performance appraisals/evaluations as required, maintaining such appraisals in a confidential and timely manner. Obtain input from the Program Specialist and other relevant departments during the process.
Develop and provide training in the areas of job responsibilities, medication administration, goal manager responsibilities, The Arc Policy and Procedure, medically prescribed regimens, assistive devices, medical equipment, and other areas as needed.
Maintain all utilized electronic documentation systems with accuracy. Ensure the monitoring and review of all paper or electronic documentation. Complete these processes and approvals timely.
Review and initial employee time sheets to ensure accuracy and correctly complete paperwork related to payroll as needed. Strictly adhere to timelines and processes to ensure the accuracy of payroll and compliance.
Obtain and maintain the certifications required for the role including but not limited to administration of medications, medication administration trainer, First Aid and CPR, diabetes, etc.
Coordinate, carry out, and document fire drills and fire safety monitoring in accordance with ODP regulations and The Arc Policy and Procedure.
Participate in all monitoring, compliance activities, and inspections, as assigned.
Accurately complete and submit required weekly, monthly, and quarterly paperwork and checklists (i.e. attendance records, structural surveys, etc.). Monthly paperwork is due no later than the 5th of each month.
Maintain ongoing communication with the Program Specialist or chain of command concerning health issues, programmatic issues, unusual situations, personnel issues, fiscal issues, schedule changes, and potential problems.
Maintain a positive and professional relationship with individuals, co-workers, supervisors, volunteers, families, health care professionals and outside agencies.
Work cooperatively and professionally with medical professionals. Ensure that health-related information is accurately communicated to all appropriate parties in a manner that provides for optimal understanding, decision-making, and follow-through.
The Residential Supervisor will serve as the health and medication manager at the home. The supervisor must oversee the tracking and scheduling of medical appointments and review and ensure the accuracy of all related paperwork including medication changes, updates of current medication list/log, and all electronic systems.
Maintaining supplies for the home. This includes but is not limited to ensuring technology resources (laptop, software, etc.) and supplies (home products, gloves, medical supplies, toiletries) are obtained and maintained. Exercise sound fiscal judgment in this area.
Maintain accurate financial records, receipts, and monies for household and individual accounts, keeping expenses within the allocated budget. Obtain prior authorization as required for expenditures.
Understand and follow the chain of command as follows: Program Specialist- Director – Chief Programming Officer.
Respond to all correspondence and requests for information promptly. Request extensions when necessary. Utilize the chain of command to request assistance.
Demonstrate high professional and ethical standards in all aspects of the job.
Meet assigned deadlines and carry out assignments with attention to detail and thoroughness.
DIRECT SERVICE
Carry out the expected duties in alignment with the role of a Direct Support Professional and with enhanced attention to the Residential Supervisor role during all direct care duties.
Demonstrate knowledge of and strict adherence to ODP and The Arc Policy and Procedure regarding administration, documentation, and training related to medication and all aspects of nursing care. ODP medication administration certification must be maintained.
Transport individuals to various appointments and activities, following all vehicle operations/maintenance guidelines as outlined in The Arc Policy and Procedure.
As needed, assist in the safe loading and unloading of vehicle passengers.
Provide an environment that ensures the health and safety of the individuals; be able to physically assist individuals in an emergency situation.
Ensure the home and property are maintained in a clean and safe manner.
Ensure the provision of training and supervision to individuals in activities of daily living (i.e. dressing, eating, personal hygiene, cooking, cleaning) and promote independence in these areas.
Plan and organize daily activities with each individual to maximize the effectiveness and efficiency of person-centered care with a focus on integration and inclusion.
Maintain supportive and positive interactions while on duty; encouraging individuals to participate in decision-making and providing the information they need to enable them to make appropriate choices in all areas.
Ensure that program and individual records are accurate, current, organized, and according to ODP regulations and The Arc Policy and Procedure. Accurately complete filing and keep records locked when not in use.
Demonstrate knowledge of and strict adherence to ODP regulations and The Arc Policy and Procedure including, but not limited to, areas of incident management, abuse, neglect, confidentiality, attendance, documentation, restrictive procedures and unusual behavior observations.
Ensure household menu and grocery shopping are completed with participation by individuals, in accordance with ODP regulations.
Attend and actively participate in training sessions by ODP regulations and The Arc Policy and Procedure. Identify needs for staff continuing education/professional development and recommend or directly provide the appropriate educational content. Twenty-four hours of training is required annually.
